WHAT'S NEW - JANUARY, 2017

GSAXcess® - View/Update Agency Address Contact

Effective January 30, 2017 an enhancement in the Report Property Menu function, View/Update Agency Address Contact is available for customers to review and/or change their Agency Point of Contact information that populates the dropdown in the Report Property and Modify Property report address and point of contact screens.

 

Click on Search to see all records associated with your last name and AAC point of contact information.

 

The first record displays. Change as appropriate if this is the record you want to modify. Otherwise, click Search again to see the next record. If there is only one record, the system will indicate by displaying a message.

 

The system will display a successful change message and send you a confirmation email. You can also change your point of contact information through the Create and/or Modify Property Report function.

WHAT'S NEW - DECEMBER, 2016

Effective December 15, 2016 an enhancement in the Report Property Menu function, Find AAC is available for customers to look up their AACs by zip code and/or Agency and/or Agency Bureau.

GSAXcess® - Find AAC

 

Enter the zip code and/or Agency and/or Agency Bureau and click on Search.

(Note: because the system is searching hundreds of thousands of records, it may take a moment or so to produce results)

By querying by only zip code may be a very large listing unless it is a small area. This listing shows all by zip code. You can download your results to excel by clicking "Download".

 

Adding the zip code and Agency narrows your search.

 

WHAT’S NEW - SEPTEMBER 28, 2015

Beginning September 28, 2015, an enhancement in the Report Property Menu function, Property Inquiry is available for customers to view any of their property items and their Sales status from GSAXcess®. This function is for property items that have completed GSAXcess® screening and have been designated as GSA Sales.

Click on either the Item Control Number or the Item Status to view the Item Data Sheet.

WHAT'S NEW FOR JANUARY, 2015

DOWNLOAD TRANSFER ORDERS

A screen will appear with any transfer orders that only you have requested for your Agency. Within the next month, the system will also display transfer orders for items that other Agencies have requested from your Agency.

View/Download Transfer Order

The View/Download Transfer Order option allows you to view and/or download your Transfer Orders that your Agency has obtained. If the status is Requested, you can see the TCN number only. To view and download the actual transfer order there must be pdf or rtf icons below the TCN. To download or view your Transfer Order details, click on the pdf or rtf icons below the Transfer Control Number. If there are no icons, there is no transfer order generated to download or view at that status (requested).


INPUT BOXES:

Req/AO/APO User ID

By entering the User ID of the requestor, Approving Official or APO and clicking the Search button you can see all transfer orders for a specific User ID.

If you are a requestor, you can only see the TCNs that you requested. NOTE: if you change the criteria and do not have the required permissions, the screen will display zero results.

If you are an NUO, you can view all TCNs for your Agency, Agency Bureau or AAC, depending on your permission levels.

If you are an Approving Official (AO) you can view only those TCNs that you are the approving official for and that have been requested by someone you are the approving official for or allocated to your Agency and awaiting approval by you.

If you are a Helpdesk or SuperUser, you can view all TCNs for an Agency, Agency Bureau, AAC, or User ID. When you first click on Download Transfer Orders, all TCNs will be displayed.

If you are an APO, the system prefills your User ID and displays all TCNs that you are associated with your APO User ID. To view or download others, enter the criteria or leave the input boxes blank and you will see all transfer orders available to view or download.

NOTE: Only allocated, approved, transferred transfer orders or denials with a pdf or rtf icon can be viewed or downloaded.

Req Agency Bureau

If you are an APO, SuperUser, HelpDesk User or NUO, by entering a specific Agency, for example, 12, you can view or download all transfer orders for that agency. You can also enter the Agency Bureau code to limit to just an Agency Bureau.

Req AAC

If you are an APO, SuperUser, HelpDesk User or NUO, by entering a specific AAC, you can view or download all transfer orders for that specific AAC. If you are the requestor or AO, you can view requested or view/download any allocated, approved, transferred or denied orders.

Status

By clicking on the dropdown selections you can limit your results to a specific status.

Requested - transfer orders that have been requested by the requestor. Requested means that the transfer order is awaiting allocation by GSA.

Allocated - transfer orders that have been allocated to the requestor.

AO Approved - transfer orders that your Agency approving official has approved.

Transferred - transfer orders that have been completed

Denied - transfer order denial notice

WHAT'S NEW FOR NOVEMBER 17, 2014

GSAXcess&® - Agency Property Report

Beginning November 17th, 2014, a Personal Property Report function is available for customers to easily display a listing of all property items currently screening in GSAXcess® and prior item history for up to one year. Customers can search by Agency Bureau and/or Activity Address Code to see all property files for an item that is in current screening or choose all property that is in historical data. For historical items you can see items by timeline of 30, 60, 90 days or one year. Customers can select all items by phase of screening such as Internal Screening, Computers for Learning, or regular GSAXcess&®. After selecting the data the customer wants to view, they then can click on the Download button and save the data in an excel format which will allow the customer to sort and total their data.

WHAT'S NEW FOR DECEMBER 01, 2012

PROCESSING CHANGE FOR FEDERAL ELECTRONICS

We implemented guidance in March, 2012 of GSA FMR Bulletin, B-34, Disposal of Federal Electronic Assets. The Federal Government has determined that improper disposal of used electronics may have potentially harmful effects on human health and the environment. This/these electronic product(s) must be disposed of at their end of useful life in accordance with all Federal, state, and local laws. The Federal Government strongly encourages recycling these products through certified recyclers, even when such recycling is not required by Federal, state or local laws. Information regarding certified recyclers is available at https://www.epa.gov/fec/resources/reuse.pdf.

As of December 1, 2012, GSAXcess will change how they accept reporting of Electronic property items that are Salvage, condition code "X" or Scrap, condition code "S". The system will accept reporting of these items but will automatically roll these items over to GSA Sales where these items may be purchased only by certified recyclers.

PROPERTY REPORTING OF ATTACHMENTS

Effective December 1, 2012, when creating or modifying a personal property report, our customers will now have the capability to upload documents pertaining to the property reported. Upload of documents will be achieved through the Upload Multiple Pictures hyperlink from the property report, modify property report or the Main Menu. Formats allowed are .pdf, .doc, .docx, .xls, .xlsx, .rtf. You will be able to view these uploaded documents from the Personal Property Datasheet by clicking on the hypertext when performing a property inquiry, select and search or advanced search.

CFL REPORTING DOWNLOAD

Effective December 1, 2012, Computers for Learning Transfers by Agency to Schools & Non-Profits reports will be downloadable in excel format. Simply select your report, obtain the results and click download Non-Federal Recipients Report. This will automatically download the report in excel format to the folder that you select on your computer.

July 11, 2011 Personal Property Inquiry

Beginning July 11th, a Personal Property Inquiry function is available for customers to easily display a listing of all property items currently screening inGSAXcess® and prior item history for up to one year. April 18, 2011 Create Report: Reporting and Location Addresses

Beginning April 18th, when you create a new property report, Agency Reporting and Location addresses will be pre-filled for you. As you enter the Point of Contact information this will be saved and automatically display the next time you create a new report. If you have more than one Location address that goes with a Reporting Address for a single Activity Address Code, these combinations will be saved for future reporting. A dropdown box with all the combinations that have been added will display the next time you create a report. This is the exception for most customers. In any event, this will save our customers from unnecessary data input. Reporting FSCs 2310 and 2320 A new required field has been added that requires our customers reporting FSCs of 2310 and 2320, vehicles to select the Transmission type, Automatic or Manual. Two optional fields have been added for Agency Class and Tag (license plate) number.

April 18, 2011 GSAXcess® Upload Multiple ICN Pictures

GSAXcess® has replaced the JAVA run Upload Photo function with the Upload Multiple ICN Pictures function. This function is located on the Main Menu, Create Property Report and Modify Property Report screens. This function allows customers to easily upload up to 12 photos per Item Control Number (ICN) across multiple ICNs. The traditional photo upload "Upload Pictures" allows uploads of one ICN at a time, while this function will allow uploads of pre-named photos of up to 100 photos (12 per ICN) per upload or renaming of photos with multiple ICNs in one session.
